Cancellation & Rescheduling Policy

1. Deposit & Retainer

To secure our event planning services and reserve your date, a non-refundable retainer of 40% of the total estimated project fee is required upon contract signing. This fee covers initial consultations, vendor outreach, and time allocation.

2. Cancellation by Client

Should you need to cancel the event entirely, the following terms apply based on the date of written cancellation relative to the event date:

  • 60+ days prior: Client forfeits the initial deposit. No additional fees apply.

  • 30 to 59 days prior: Client is responsible for 50% of the remaining total contract balance.

  • 0 to 29 days prior: Client is responsible for 100% of the total contract balance.

3. Cancellation of Third-Party Vendors

The Client is responsible for any cancellation fees, penalties, or non-refundable deposits charged by third-party vendors (e.g., venues, caterers, florists) booked on the Client’s behalf. These pass-through costs will be billed directly to the Client.

4. Rescheduling & Date Changes

We understand that plans can change. Requests to reschedule an event date must be submitted in writing.

  • If a new date is available and we are able to accommodate the transition, the initial deposit will be transferred to the new date.

  • Requests made within 30 days of the original event date will be treated as a cancellation, and standard cancellation fees may apply to cover the costs of unbooking and reallocating resources.

5. Force Majeure

Neither party shall be liable for any failure or delay in performance caused by circumstances beyond their reasonable control, including but not limited to acts of God, war, government regulations, disasters, or pandemics. In such cases, deposits may be credited toward a future rescheduled event, minus any unrecoverable expenses already incurred by the planner.

6. Planner Cancellation

In the highly unlikely event that [Your Business Name] is unable to provide services due to unforeseen emergencies, we will make every effort to secure a replacement planner of equal caliber. If a replacement cannot be found, you will receive a full refund of all monies paid, minus the cost of work already completed up to the termination date.
